Ministry Assistant Job Description
Position Summary:
The Ministry Assistant serves as a vital member of the church staff, performing daily tasks to
support the everyday operation of the church office. This individual is a growing disciple of
Jesus Christ who leads and supports the church in fulfilling the Great Commission.
The Ministry Assistant directly reports to the Associate Pastor
Primary Responsibilities:
Office Administration
• Perform daily tasks to support the smooth operation of the church office.
• Monitor phone calls, respond to voicemails, and direct inquiries as needed.
• Review, open, digest, and distribute mail; prepare routine responses as needed.
• Monitor and respond to emails, including sending church-wide correspondence.
• Maintain the church calendar, coordinating schedules for ministries, staff, and facility.
• Manage and facilitate the church information system (Planning Center) for People
management, Calendar, and Groups to ensure accurate records and updates.
• Prepare and print committee notes for monthly meetings.
• Prepare the Annual Church Report (ACP).
Sunday School & Membership Coordination
• Take Sunday School attendance and input data into the Planning Center system.
• Provide Sunday School materials as needed per requests from the Sunday School
Director.
• Process and maintain records for new guests, new believers, baptisms, new members,
transfers, deaths.
• Manage paper and digital Connect Cards, ensuring accurate entry and follow-up.
Publications & Financial Support
• Prepare the weekly bulletin and ensure accurate and timely distribution.
• Assist the Associate Pastor with receipt and expense management.
• Perform basic graphic editing for bulletins, announcements, social media, and church
publications.Staff Support
• Provide the agenda and minutes for the weekly staff meeting.
Position Requirements:
• Spiritual: Authentic faith in Jesus Christ, actively growing as a disciple, and living
according to Scripture. Must agree with the 12 Oaks Statement of Faith and the Baptist
Faith and Message.
• Technical Skills: Proficient in Planning Center (People, Calendar, Groups), email,
word processing, basic graphic editing, and church database systems; ability to operate
office equipment (copiers, printers, etc.).
• Organizational Skills: Ability to manage multiple tasks, prioritize responsibilities, and
maintain an organized office environment.
• Interpersonal Skills: Strong communication and people skills, working effectively with
church staff, volunteers, and members.
Work Hours:
• Monday – Thursday, 8:00 AM – 4:00 PM
Compensation:
• Salary based on experience and qualifications.
